We are seeking a seasoned Executive Assistant to provide high-level, primarily one-on-one support to our CEO, with secondary support to members of the executive team. This role requires exceptional judgment, discretion, and the ability to anticipate needs in a dynamic, high-volume environment. The ideal candidate is a proactive problem-solver who thrives on bringing order to complex calendars, travel, and meeting logistics.
Calendar & Scheduling
- Own and actively manage the CEO’s calendar, exercising independent judgment to prioritize competing demands and protect time for strategic priorities.
- Coordinate complex scheduling across multiple time zones, internal leaders, and external stakeholders.
- Proactively resolve conflicts and keep the CEO ahead of daily and weekly commitments.
Travel Coordination
- Plan and book domestic and occasional international travel for the CEO and, as needed, members of the executive team.
- Build detailed itineraries, manage last-minute changes, and ensure seamless logistics end to end.
- Serve as the central point of contact for executive team travel needs.
Board & Executive Meeting Preparation
- Coordinate logistics for board meetings, executive team meetings, and leadership offsites, including scheduling, materials, and agendas.
- Partner with the CEO and department heads to compile briefing materials, decks, and pre-reads.
- Capture and track action items and follow-ups to ensure accountability.
Expense & Project Support
- Prepare, submit, and reconcile expense reports for the CEO.
- Provide light project management support on executive initiatives, tracking deadlines and deliverables.
- Handle ad hoc administrative tasks that keep the executive office running smoothly.
- 5+ years of experience supporting C-level executives as a senior Executive Assistant.
- Proven ability to manage complex calendars and travel for senior leaders.
- Exceptional written and verbal communication skills.
- Demonstrated discretion handling confidential and sensitive information.
- Strong proficiency with calendar, travel, and collaboration tools (e.g., Outlook, expense platforms, video conferencing).
- Highly organized, detail-oriented, and able to juggle competing priorities independently.
- Comfortable working remotely with a self-directed, accountable work style.
- Experience in a high-growth, PE-backed, or multi-state organization is a plus.
Salary Band: $85,000 - $125,000
