About the Role:

We are seeking a seasoned Executive Assistant to provide high-level, primarily one-on-one support to our CEO, with secondary support to members of the executive team. This role requires exceptional judgment, discretion, and the ability to anticipate needs in a dynamic, high-volume environment. The ideal candidate is a proactive problem-solver who thrives on bringing order to complex calendars, travel, and meeting logistics.

Key Responsibilities:

Calendar & Scheduling
  • Own and actively manage the CEO’s calendar, exercising independent judgment to prioritize competing demands and protect time for strategic priorities.
  • Coordinate complex scheduling across multiple time zones, internal leaders, and external stakeholders.
  • Proactively resolve conflicts and keep the CEO ahead of daily and weekly commitments.

Travel Coordination
  • Plan and book domestic and occasional international travel for the CEO and, as needed, members of the executive team.
  • Build detailed itineraries, manage last-minute changes, and ensure seamless logistics end to end.
  • Serve as the central point of contact for executive team travel needs.

Board & Executive Meeting Preparation
  • Coordinate logistics for board meetings, executive team meetings, and leadership offsites, including scheduling, materials, and agendas.
  • Partner with the CEO and department heads to compile briefing materials, decks, and pre-reads.
  • Capture and track action items and follow-ups to ensure accountability.

Expense & Project Support
  • Prepare, submit, and reconcile expense reports for the CEO.
  • Provide light project management support on executive initiatives, tracking deadlines and deliverables.
  • Handle ad hoc administrative tasks that keep the executive office running smoothly.
 

Qualifications:
  • 5+ years of experience supporting C-level executives as a senior Executive Assistant.
  • Proven ability to manage complex calendars and travel for senior leaders.
  • Exceptional written and verbal communication skills.
  • Demonstrated discretion handling confidential and sensitive information.
  • Strong proficiency with calendar, travel, and collaboration tools (e.g., Outlook, expense platforms, video conferencing).
  • Highly organized, detail-oriented, and able to juggle competing priorities independently.
  • Comfortable working remotely with a self-directed, accountable work style.
  • Experience in a high-growth, PE-backed, or multi-state organization is a plus.

Salary Band:  $85,000 - $125,000
