About Navia Benefit Solutions:
We’re a people first benefit administrator that relies on a fast-growing team of creative thinkers, problem-solvers, and go-getters to bring our participant and client experience to the next level. Our mission? To create better lives and provide a simple and amazing benefits experience. If you love providing excellent service, innovating the way benefits are administered, and being part of an inclusive workplace community, you’ll fit right in.

About the Role:
We are seeking a highly customer-focused professional to support new retirement plan onboarding and advisor-facing activities. This role blends client onboarding, advisor support, and operational coordination, serving as a critical bridge between sales, implementation, and ongoing service teams.
The individual will play a dual role—supporting new business conversion and onboarding activities while also acting as an internal advisor support resource, helping facilitate plan design discussions, responding to advisor inquiries, and ensuring smooth implementation and data accuracy across systems.

What You’ll Do:
Advisor & Sales Support
  • Serve as primary point of contact for incoming advisor inquiries and prospective plan discussions
  • Support advisors and internal teams throughout the sales and onboarding lifecycle (not a direct sales role)
  • Develop strong relationships with advisors and plan sponsors through consistent, proactive communication
  • Assist with plan design discussions, illustrations, and proposal support for:
    • 401(k) plans
    • Cross-tested plans
    • Cash balance / defined benefit plans
Plan Onboarding & Implementation
  • Manage end-to-end onboarding of new retirement plans
  • Prepare and coordinate service agreements and plan documentation (e.g., FT William)
  • Coordinate with recordkeepers (e.g., Empower, Voya, Transamerica, Standard, etc.) to complete onboarding requirements
  • Set up new plans in internal systems (e.g., PensionPro), including:
    • Contacts
    • Plan specifications
    • Investment information
  • Facilitate client welcome calls to introduce processes, administration workflows, and systems access
Operational & Administrative Support
  • Provide ongoing support for internal teams (e.g., PCRs/CSMs) related to recordkeeper coordination and plan changes
  • Assist with plan conversions, mergers, and acquisitions (e.g., combining plans after a business acquisition)
  • Help reduce administrative burden by handling documentation and recordkeeper interactions
  • Maintain accurate tracking of new business and onboarding pipeline data for reporting purposes
Cross-Functional Collaboration
  • Partner closely with:
    • Advisors and external partners
    • Client Service Managers (CSMs)
    • Pension/operations teams
  • Ensure smooth handoff from onboarding to ongoing service teams
  • Contribute to improving onboarding processes and advisor experience

What We’re Looking For:
  • Strong communication and relationship-building skills (phone-based and client-facing)
  • Highly organized with ability to manage multiple onboarding projects simultaneously
  • Comfortable working in a fast-paced, client-facing environment
  • Ability to learn complex plan structures and operational processes
The ideal candidate will demonstrate:
  • Strong interpersonal presence and confidence engaging with advisors and clients
  • Willingness to take initiative and “own” processes end-to-end
  • Intellectual curiosity and ability to learn plan design concepts quickly
  • A service-oriented mindset with attention to detail

Bonus Points For:
  • Experience in retirement plans, pension administration, or financial services
  • Familiarity with:
    • PensionPro
    • FT William
  • Prior experience in a client-facing or advisor-support role (e.g., internal wholesaler, account support, implementation support)
